Job Description

 

This position reports to the Facilities Manager and assists the Facilities Manager with the responsibilities concerning the physical operations of the company such as, building maintenance, building security, office furniture, and supplies, telecommunications, vendor contacts, mailroom and reception functions, records management storage and other unassigned duties as deemed necessary.

 

Duties

 

Duties include, but are not limited to, the following:

  • Back-up Facilities Manager
  • Resolve Telecom issues
  • Coordinate office equipment
  • Facilitate internal moves
  • Maintain office environment such as cleanliness in common areas as kitchen
  • Order stationary products
  • Maintain vendor files and emergency contact information
  • Maintain Access cards, Key Fobs and Passkeys
  • Maintain parking passes for Executives
  • Supply order review and 1st level approval
  • New employee set up
  • Vendor relations
  • Switchboard phone relief when needed
  • Back-up for Iron Mountain Records Management storage
  • Back-up for Mail duties
  • Back-up for Facilities maintenance issues
  • Back-up for ordering and stocking supplies
  • Act as After hours Security contact back-up
  • Other duties as required

Qualifications

  • 3-5 years hands on Facilities/Office management experience in a fast paced working environment
  • Solid proficiency with Microsoft Office Word , Excel and Outlook
  • Excellent customer service skills
  • Strong communication skills â€" written and verbal
  • Detail oriented with strong analytical skills
  • Self motivated and able to work independently/as part of a team
  • Able to multi-task and meet deadlines
  • Must be able to lift up to 40 lbs
  • Reliable transportation for back up Facilities and Mail duties
  • High school diploma required
  • Qualified candidates must pass prescreening credit and criminal investigations
